Form Templates

Overview

A form template is a reusable checklist or inspection form. You build it once, attach it to jobs, and the job can’t be started or finished until the form is submitted.

Creating a Template

Owners and managers create templates on the web: go to Forms in the sidebar and click New template. Enter a Name, pick a Timing, optionally add a Description, then click Add field for each field.

Timing decides which step of the job the form blocks:

  • Before start — must be submitted before the job can be started.
  • After completion — must be submitted before the job can be finished.

Field Types

Each field has a Label, a Type, an optional Description shown under the field, and a Required checkbox.

  • Text — a single-line answer.
  • Text area — a multi-line answer.
  • Number
  • Date
  • Checkbox — a single yes/no item.
  • Dropdown — one choice from a list. Enter the options separated by commas (for example, “Good, Fair, Poor”).
  • Photo upload — photos taken or chosen on-site, up to 10 per form.
  • Signature — the signer types their full name. It is not a drawn signature.
  • Section header — a heading that groups the fields below it. It takes no answer.

Attaching Templates to Jobs

Open a job on the web and go to its Form templates section. Search for a template and click Attach, or click New form to create a template that is attached to the job as soon as you save it. In the mobile app, owners and managers tap Attach Form in the job’s Forms section.

  • Only active templates can be attached, and each template only once per job.
  • Once a job has started, only After completion templates can be attached.
  • Until the job is completed you can detach a form. After that, its forms can’t be changed.

Form Gates

  • With a Before start form attached, the job can’t be started until the form is submitted.
  • With an After completion form attached, the job can’t be finished until the form is submitted.

Anyone who tries to move the job forward first is told to complete the required forms. The one exception is Mark completed, which a manager uses on a job whose visit date has passed: it skips the form gates.

Filling Out Forms

The crew lead running the job, or an owner or manager doing the field work, fills out its forms on the web or in the mobile app and taps Submit. Before start forms can be filled out before the job starts, After completion forms once it has started. Other crew members can see the forms on the web but can’t submit them.

A submitted form records who submitted it and when, and can’t be edited afterward.

In the mobile app, a form without photos can be submitted offline and syncs later; a form with photos needs a connection. See Working Offline.

Activating and Deactivating Templates

Untick Active on a template to stop it being attached to new jobs. Jobs it is already attached to keep it, along with their submissions.

A template that is attached to any job can’t be deleted — deactivate it instead.

Viewing Completed Submissions

Open a job and expand a form in its Form templates section. Each form is marked Pending or Submitted; a submitted form shows who submitted it, when, the answers, and any photos.
