Client Portal
What It Is
The client portal is a web page each client opens to see everything about their work with you: the next visit, the invoices waiting to be paid, the quotes waiting for an answer, and the requests they have sent you. From it they pay invoices, approve or decline quotes, request more work, ask for a day and time when you let them, and keep track of past visits.
There is no login and no password. A client gets in from a link, and the browser keeps them signed in for 30 days. You never create an account for them.
The portal is on every plan, and during the trial. See Billing and Plans.
Giving a Client Access
A client gets into their portal from a link. There are four ways for them to get one.
From the Client Page
Open the client and find the Client portal card. It offers:
- Email link – Jeero emails the client a portal link, to the email address on their record.
- Text link – Jeero texts it to their mobile number. This needs the client set up for texts (see Clients and Properties).
- Copy link – Jeero creates a link and shows it to you once, to paste wherever you talk to that client. Jeero does not store it and cannot show it again.
A link works for 7 days. Once the client opens it, they stay signed in on that device for 30 days, whether or not the link has run out since. The card says when the latest link went out and until when it works.
The same card is on the client’s screen in the mobile app.
From Every Email
Every email Jeero sends a client on your behalf – a quote, an invoice, a visit reminder, a proof of visit – carries a Your account link in its footer. A client who keeps your emails always has a way in.
From a Quote, Invoice or Proof of Visit Page
The page a client opens from a quote, invoice or proof-of-visit link has a Your account button. It sends a fresh portal link to the email address or phone number on the client’s record, never to whoever is looking at the page.
From Your Sign-in Page
Your company has a sign-in page of its own, for a client who has no link to hand. Find its address under Client portal on My Company, with a Copy button, and put it on your website or in your email signature.
On that page the client types the email address or phone number you have on file for them, and Jeero sends a portal link there. The page says the same thing whether or not the contact is on file, so nobody can use it to find out who your clients are.
The address ends in a name built from your company name. Change it under Edit on the Client portal section of My Company. Changing it breaks the address you have already shared.
What the Client Sees
The portal opens on Home, with your company name and logo:
- Your next visit – the date, the job, the address, and the crew’s first names. The time shows only when you have turned Show visit times on (see below).
- Invoices awaiting payment – how many and how much in total, with the first five and a Pay button on each.
- Quotes waiting for your answer – the first five, with an Answer button on each.
- Your requests – requests the client has sent you that you have not yet acted on, each with the day and time they asked for, if any. They can Change or Withdraw one until you do. Once you book a request, the visit moves to Your next visit and the request leaves this list. See Quotes.
- Get in touch – your phone and email, and Request work when you take requests.
The tabs across the top go further:
- Visits – upcoming visits and past ones, 20 at a time. Opening a visit shows its dates, address, crew first names, the invoice for it, and the before and after photos once you have shared the proof of visit (see Proof of Visit). A visit the client booked online can be cancelled from here while it is still far enough away; see Online Booking.
- Quotes – quotes waiting for an answer and quotes already answered. A quote opens on the same document the quote email links to, with Approve Quote and Decline Quote, and the deposit payment when you ask for one. A quote past its date shows as expired and cannot be answered.
- Invoices – invoices awaiting payment, with the ones past due marked, and invoices already paid. An invoice opens on the same document the invoice email links to, with its Pay button when you take online payments.
- Request work – your quote request form, with the client’s name, email, phone and first property already filled in. It appears only when your public quote request form is enabled (see Quotes). When you let clients pick a time, the form also offers a Day and a Start time from the slots you set, both optional; nothing is booked until you accept the request (see Online Booking).
The portal shows no internal notes, costs, expenses, worker surnames or anything about other clients. Draft quotes and draft invoices are not there until you send them.
Settings
Under Client portal on My Company, click Edit to change:
- Clients can open their portal – on by default. Turning it off closes every client’s portal at once; links you have sent stop working until it is on again.
- Show visit times, not just dates – off by default. When on, a visit shows its start time, but only once the time is locked for that day. Leave it off if you route your day in the morning and a time promised the night before may not hold.
- Sign-in page address – the end of your sign-in page’s address.
Taking Access Away
On the client page, Revoke access on the Client portal card takes back every link sent to that client and closes any session they have open, on every device. Send a new link to let them back in.
Archiving a client closes their portal too, and sends them nothing until they are unarchived. See Archiving a Client.
How Access Stays Safe
- A link is a long random code that cannot be guessed, and it works for 7 days only. If a client opens a link that has run out, the page offers to send a fresh one to the contact details on their record, and points at your sign-in page.
- A client who has not opened a link from you in 14 days is asked to confirm their email address, or the last four digits of their phone number, before going on. Ten wrong answers revoke every link and close the session; send them a new link.
- Every form in the portal has spam protection, and asking for links is limited per person and per contact.
- The portal closes by itself when your plan no longer includes it, when you turn it off, or when the client is archived.
