Quotes

Overview

A quote prices the work for a client before you start. The client approves it online, and the approved line items become the job’s line items.

Owners and managers work with quotes under Quotes in the sidebar, and in the mobile app (see Mobile Management App). Crew members do not see quotes.

The page has two tabs, Quotes and Requests, plus a Request Form link for owners. Filter chips show how many quotes are in each status. Every quote has a number such as #0042; the search box takes a quote number or a client name.

Creating a Quote

  • From a job – in the job’s Quotes section, click New quote. The job’s line items are copied onto the quote.
  • From a client – click Create Quote on the client’s page.
  • Standalone – click New Quote on the Quotes page and pick a client. No job is needed yet.

You can set a Deposit amount to collect when the client approves, and add Notes. The client sees the notes on their quote page.

A quote starts as Draft. Only a draft can be edited or deleted.

Adding Line Items

Click Add item. Typing in the description searches your catalog; anything else you type is a one-off item. Tick Save to catalog to keep a one-off item for next time.

Tax is your company’s default tax rate applied to the taxable items (see Company Setup).

Sending Quotes to Clients

Click Send to client. Jeero emails the client a link to the quote; no login is needed. The client must have an email address, and your own email address must be verified. A sent quote can be sent again with the same button.

The quote shows Viewed by client once the client has opened the link.

Client-Facing Quote Page

The client sees the line items, totals, the deposit and your notes, and can:

  • Approve Quote
  • Decline Quote
  • Approve & Pay Deposit – shown when the quote has a deposit and you have connected online payments (see Invoices & Payments). Paying the deposit approves the quote.

Owners and managers are notified when a client approves or declines, unless the notification is switched off (see Notifications).

Quote Statuses

Status Meaning
Draft Not sent yet. Can be edited.
Sent Emailed to the client, awaiting their answer.
Accepted The client approved it, or you clicked Mark accepted.
Rejected The client declined it, or you clicked Mark rejected.
Expired The validity period ran out before the client answered.
  • Revise returns a rejected quote to Draft so you can change it and send it again.
  • An expired quote cannot be reopened; click New quote on it to start a fresh one for the same job or client.
  • Convert to Job creates the job for a standalone quote without waiting for acceptance.

Quote Expiration

A sent quote is valid for 30 days from the last time it was sent. After that it becomes Expired and the client’s link stops working.

In the last week before expiry, Jeero sends the client one reminder email. The reminder does not change the expiry date, and the link in the original email keeps working alongside the one in the reminder. Sending the quote again starts the 30 days over, with a new reminder.

Quote Requests

Quote requests come from a public form you share as a link, a QR code or on your website. New requests appear in the Requests tab, with a count of unopened requests on the tab and in the sidebar. Owners and managers are notified of each new request.

Setting Up the Request Form

Owners click Request Form on the Quotes page and set:

  • Enable public quote request form – turns the form on or off.
  • Custom URL – the end of the link, /request-quote/your-company-name. Suggested from your company name.
  • Welcome message – shown at the top of the form.
  • Thank-you message – shown after a request is submitted.
  • Custom form – the default form, or one of your active custom forms.

Once the form is enabled and saved, the page shows your link, a Preview form button, a QR code (Download SVG), and code for a link button or an embedded form (iframe) for your website.

What Clients Fill Out

Every form asks for name and email.

The default form adds phone (optional), service address (required) and a description of the work (required). The address starts on your company’s country and offers suggestions as the client types; outside the US the state list becomes a free-text field.

A custom form adds the fields you defined instead.

Forms are protected against spam by Cloudflare Turnstile and a honeypot field.

Building a Custom Form

On the Request Form page, click Create a form template (or Manage form templates). Name the form, click Add field for each field, pick its type and tick Required where needed. The types are Short text, Long text, Number, Date, Checkbox, Dropdown and Address.

Only forms marked Active can be chosen under Custom form.

Managing Incoming Requests

A new request is Pending. Opening it clears it from the unopened count. From the request you can:

  • Convert to Quote – Jeero finds the client by email or creates one, saves the address as a property, creates an unscheduled job and a draft quote holding the client’s notes, and opens the quote for editing. The request becomes Converted.
  • Archive – the request becomes Archived.

From Accepted Quote to Scheduling

When a quote is accepted:

  • A standalone quote gets its job, created as unscheduled.
  • The quote’s line items replace the job’s line items.
  • A deposit the client paid is deducted from the job’s invoice.
