Company Setup
Overview
Company settings live on the My Company page in the sidebar of the web app. Owners and Managers can open it; the settings apply to the whole company.
The page shows your profile, then cards for Payments (see Invoices & Payments), your subscription (see Billing & Plans), Client Notifications, Company Notifications and Photo Requirements. The notification and photo switches are changed right on the page. Everything else is behind Edit.
Company Profile
Click Edit, fill in the form, and click Save changes:
- Company logo – PNG, JPG, or WebP, max 2 MB. Appears on invoices, quotes, and emails to clients.
- Company name – required.
- Address – also the default start and end point of every crew route. See below.
- Phone – pick the country code from the dropdown next to the number.
- Email and Website.
- Business type – Sole Proprietorship, LLC, Corporation, Partnership, or Nonprofit.
- Industry – Landscaping, Plumbing, HVAC, Electrical, Cleaning, Pest Control, Roofing, Painting, General Contracting, or Other.
- Tax ID (EIN) – nine digits, in the form XX-XXXXXXX. Stored encrypted; only the last four digits are shown afterwards.
- Currency – USD, EUR, GBP, CAD, AUD, or JPY.
Why Your Address Matters
A crew’s route starts at your company address and ends there, unless you set a different start or end on that route. On the route builder, Use company address fills it back in. If your crews meet at a yard or warehouse, use that as the company address. See Route Optimization.
Measurement System and Mileage
- Measurement system – Imperial (miles, feet) or Metric (kilometers, meters). Used for route distances, mileage, and the photo geofence radius.
- Mileage rate – the amount per mile or kilometer used to value mileage entries, to a tenth of a cent (e.g.,
0.670for 67 cents,0.725for 72.5 cents). It starts at 0.670. See Mileage. - Crews start and end the day – At the company address logs the drive to the first job and the drive back from the last one as mileage; From home leaves those two drives out. See Mileage.
- Minimum earned per hour – what an hour of crew time must bring in after materials for a stop to count as good on the Profitability page. Leave it blank to skip the check. See Profitability.
Default Tax Rate
Default tax rate (%) is applied to every taxable line item on quotes and invoices. There is one rate for the company; to leave an item untaxed, mark that line item as not taxable.
Default Start Time
Default job start time is when a crew’s day starts (07:00 unless you change it). A route uses it unless you give that route its own start time.
Notification Preferences
Both lists are on the My Company page. Click the button beside a notification to switch it between Enabled and Disabled. Everything starts enabled.
Client Notifications
Messages to the client about their job. Each client gets them by email, by text, or both, depending on how that client is set up; texts need the Pro plan or higher.
- Job Scheduled – a job is put on the schedule.
- Job Rescheduled – a visit date changes.
- Visit Date Added / Visit Date Removed – a visit is added to or taken off a job that is already scheduled.
- Job Cancelled – a job the client had been told about is cancelled. The person cancelling can skip the notice for that one job. See Jobs.
- Visit Skipped – the office skips a visit and chooses to tell the client. A skip made by the crew never contacts the client. See Jobs.
- Appointment Reminder – sent before each visit of a job that is still scheduled: at 9:00 AM in your company’s timezone, the day before, unless you change it (see below). A job that is already under way, skipped or cancelled gets none.
- Crew En Route – the crew is on its way.
- Job Started – the crew starts the job.
- Job Completed – the job is finished.
- Invoice Sent – a text saying an invoice was sent. The invoice email itself is always sent.
- Payment Failed – an email when the client’s bank payment did not go through, with a link to pay again.
When the Appointment Reminder Goes Out
Click Edit and scroll to Appointment reminders at the bottom of the form:
- Reminder send time – any half hour from 6:00 AM to 8:00 PM, in your company’s timezone. Reminders go out during the hour that starts then.
- Days before the visit – 1 to 7.
The My Company page shows both under the Client Notifications list. While Appointment Reminder is Disabled, the two fields are locked; enable it first.
Company Notifications
Alerts to every owner and manager:
- Quote Accepted, Quote Rejected, New Quote Request
- Payment Received, Payment Failed, Payment Needs Attention, Payment Refunded, Payment Disputed, Payout Failed, Invoice Couldn’t Be Sent
- Job Completed, Crew Note Added, Job Rescheduled by Crew Lead, Visit Skipped by Crew Lead
- Job Over Estimated Time, Incomplete Job Alert – sent on the Business plan only
- Shift Auto-Closed, Photo Geofence Violation, Recurring Visits Overdue
Turning one off here turns it off for everyone. Notifications & Alerts explains what each one means and how each person chooses how they receive them.
Overage Buffer
While Job Over Estimated Time is enabled, Overage buffer (minutes) sets how far a started job may run past its estimated duration before the alert goes out. It starts at 15; the range is 0 to 480, and 0 alerts as soon as the estimate is passed. Jobs that were never started don’t trigger it.
Incomplete Job Grace Period
While Incomplete Job Alert is enabled, Grace period (minutes) sets how long after a job’s expected completion time the alert goes out. It starts at 30; the range is 0 to 480.
GPS Tracking
GPS tracking mode, on the Edit page, applies to every worker using the mobile app:
- Continuous – location is tracked from clock-in to clock-out. This is the default.
- Manual – location is recorded only at clock-in, at clock-out, and each time a job’s status changes.
- Disabled – no crew location is recorded. Job photos still record where they were taken.

Photo Requirements
Both are on until you turn them off:
- Require before photos (pre-start) – a job cannot be started until it has a before photo.
- Require after photos (pre-finish) – a job cannot be finished until it has an after photo.
Photo Geofence
Geofence enforcement (on by default) checks where job photos are taken. Photos taken outside the Radius around the job site, or without GPS data, are flagged for review and raise a Photo Geofence Violation alert. Uploads are never blocked.
The radius starts at 100 meters (328 feet) and can be set from 25 to 5,000 meters, entered in feet or meters to match your measurement system.
Timezone
Choose your Timezone on the Edit page; the list offers the US time zones. Jeero works out dates and times in the company timezone, so if you work across several, pick the one where most of your jobs are.
