Mileage Tracking

Overview

Jeero tracks the miles (or kilometers) your crews drive to job sites so you have accurate records for tax deductions and reimbursement. Mileage is recorded separately from expenses – it is purely for your own reporting and is never added to a client’s invoice.

Every time a job is completed, Jeero can generate a mileage entry automatically, so your distance log builds itself in the background while your crews work.

Note: Mileage tracking is part of the Business plan. If you don’t see the Mileage section, you can unlock it by upgrading your plan (see Plans & Billing).

How Mileage Is Calculated

When a job is marked complete, Jeero figures out how far the worker traveled using the best available source, in priority order:

  1. GPS tracking – if GPS location data was recorded for the job, Jeero measures the actual distance driven from the recorded location trail. This is the most accurate method.
  2. Mapbox lookup – if no GPS trail is available, Jeero looks up the driving distance from the route’s starting point (or your company address) to the job site.

Each entry records which method was used, so you always know whether a distance came from real GPS data or a map estimate. Entries are labelled GPS or MAPBOX accordingly (entries created another way are labelled MANUAL).

Note: A mileage entry is only created once per job. If a job already has mileage recorded, completing it again will not create a duplicate.

The Mileage Rate

Mileage entries are valued using your company’s mileage rate, which you set in your company settings (see Company Setup). The rate supports sub-cent precision so you can match standard rates exactly – for example, the IRS standard rate of $0.725 per mile.

Each entry stores the rate that was in effect when it was created. If you change your mileage rate later, existing entries keep their original rate, so your historical records stay accurate.

The rate is applied in your company’s chosen distance unit – miles or kilometers – which you also configure in company settings.

The Mileage Tab

Owners and managers can review all recorded mileage from the Mileage section in the management dashboard. At the top you will find summary cards showing:

  • Total entries – the number of trips recorded.
  • Total distance – the combined distance driven across all entries.
  • Total deduction – the total dollar value of the mileage, ready for tax reporting.

Below the summary, every entry is listed with its date, the worker who drove, the linked job, the distance, the rate applied, the dollar amount, and the source (GPS or map lookup). Click any job number to jump straight to that job.

Filtering

Use the filters at the top of the page to narrow the list by worker or by date range. This makes it easy to pull the exact figures you need for a specific employee or reporting period.

Per-Worker Tax Summary

At the bottom of the Mileage tab, Jeero provides a tax summary broken down by worker. For each team member it shows their total number of trips, total distance driven, and total deduction amount.

This summary is designed to make tax season painless – you can hand each worker (or your accountant) a clear, per-person mileage total without doing any math yourself.

Tip: Filter by date range before reviewing the tax summary so the totals match the tax year or quarter you are reporting on.

Mileage vs. Expenses

Mileage is kept completely separate from your expenses:

  • Mileage is for tax and reimbursement records only. It is never billed to clients.
  • Expenses (materials, fuel purchases, supplies) can be marked billable and passed onto invoices. See Expenses.

Keeping the two apart means your client invoices stay clean while you still capture every deductible mile your crews drive.
