Catalog
Overview
The catalog is your library of reusable services and products. Instead of typing the same line items every time you build a quote, job, or invoice, save them once and pull them in from a quick search.
What Are Catalog Items?
A catalog item represents a service or product your company offers regularly. For example, “Acme Landscaping” might have items like:
- Lawn Mowing — $45.00 per visit
- Hedge Trimming — $30.00 per hour
- Mulch (per yard) — $65.00
Each item stores a name, optional description, category (service, part, or material), cost price, sell price, default quantity, unit, and whether it’s taxable.
Creating Catalog Items
Navigate to Catalog and click New item. Fill in the details:
- Name — A short, recognizable label (e.g., “Gutter Cleaning”).
- Category — Service, Part, or Material.
- Description — Optional extra detail shown on quotes and invoices.
- Cost — Your internal cost for this item (used for margin tracking).
- Price — The default sell price per unit. You can override this on individual quotes or invoices.
- Default Quantity — The default quantity when adding this item to a quote or invoice.
- Unit — The unit of measure (e.g., “each”, “hour”, “yard”).
- Active — Toggle off to hide an item from search without deleting it.
Tip: Use clear, client-friendly names. These appear on the documents your clients receive.
Note: Whether an item is taxable is set when you import items from a CSV file (see below). The taxable setting is applied per line item when the catalog item is added to a quote, job, or invoice.
Finding Items
The Catalog page lists all your items. Use the search box to find an item by name, filter by category (service, part, or material), or filter by active and inactive status. Click the Name, Category, Cost, or Price column heading to sort the list.
Using Catalog Items in Quotes, Jobs, and Invoices
When adding a line item to a quote, job, or invoice, start typing in the line’s description field to search your catalog. Select a match and it fills in the description, price, cost, quantity, and unit automatically. You can still adjust the quantity, override the price, or just type a custom description if the item isn’t in your catalog.
Saving a Line Item to the Catalog
When you add a line item to a quote, job, or invoice, you can tick Save to catalog to turn that one-off line item into a reusable catalog item. The next time you need it, it’s ready to search for — no retyping.
Only service and part line items can be saved this way. Expenses and mileage are not saved to the catalog. If an item with the same name already exists, a new entry is still created and you’ll see a notice so you can clean up duplicates if needed.
Importing Items from a Spreadsheet
To add many items at once, use Import CSV on the Catalog page. Download the template, fill in your items (name, category, description, cost, price, unit, taxable, active, and quantity), and upload the file. Jeero shows how many items were imported and how many were skipped. Rows with a name that already exists in your catalog are skipped automatically, so you can safely re-upload an updated file.
Editing and Removing Items
Edit any catalog item from the Catalog page. Changes apply to future quotes and invoices only — previously sent documents are not affected.
To remove an item you no longer offer, delete it from the catalog. Existing quotes and invoices that used the item remain unchanged.
