Form Templates
Overview
Form templates let you build reusable checklists and inspection forms that whoever is running the job completes on-site. Whether it’s a safety inspection, equipment checklist, or client walkthrough, forms keep your team consistent and your records complete.
Plan availability: Form templates are part of the Pro and Business plans (and Enterprise). They aren’t included on the Starter plans. If you don’t see Form Templates in your sidebar, upgrade your plan to unlock them.
What Are Form Templates?
A form template is a structured set of fields that the person running the job fills out on-site. Templates are created once and can be attached to any number of jobs. Common examples include:
- Pre-job safety checklist — Verify PPE, site hazards, and equipment condition.
- HVAC inspection form — Record thermostat readings, filter status, and refrigerant levels.
- Client walkthrough — Capture before-and-after notes with photo fields.
Creating a Template
Navigate to Form Templates in the sidebar and click New template. Give it a name (e.g., “Pool Maintenance Checklist”) and an optional description, choose when it should be completed, then start adding fields.
When the Form Must Be Completed
Every template has a timing that controls when the form acts as a gate on the job:
- Before start — The form must be completed before the job can be started.
- After completion — The form must be completed before the job can be finished.

Field Types
For each field you set a label, an optional help text, and whether it’s required. Supported field types are:
- Text — A short, single-line answer.
- Text area — A longer, multi-line answer for notes.
- Number — Numeric values such as measurements or readings.
- Date — A calendar date.
- Checkbox — A single yes/no or pass/fail item.
- Dropdown — A predefined list of options to choose from. Enter the choices as a comma-separated list (for example, “Good, Fair, Poor”).
- Photo upload — The crew lead snaps or uploads photos directly from the field.
- Signature — Capture a handwritten signature, such as a client sign-off.
- Section header — A label used to group fields into sections. It’s not an answerable field — just a heading to organize a longer form.
Tip: Order your fields to match the natural flow of the task, and use section headers to break long forms into clear stages. Workers complete forms faster when the sequence matches their real-world routine.
Attaching Templates to Jobs
Open a job and attach one or more form templates to it. You can also create a new template directly from a job — it’s attached automatically once saved. Whoever runs the job sees the attached forms on it, both on the web and in the mobile app.
Each template can be attached to a job only once. If a job is already completed, its attached forms can no longer be changed.
Form Gates
A form’s timing turns it into a required step that blocks the job until it’s done:
- If a Before start form is attached, the job can’t be started until that form is submitted.
- If an After completion form is attached, the job can’t be finished until that form is submitted.
This guarantees that critical steps — a safety check before work begins, or a client sign-off before the crew leaves — are never skipped. If someone tries to move the job forward without completing the required form, Jeero blocks the action and tells them which form to fill out first.
Filling Out Forms
Whoever runs the job completes its attached forms, either on the web or in the mobile app while on-site. This is typically the crew lead, but an owner or manager who is doing field work and running the job can complete them too. Once a form is submitted it’s recorded with who completed it and the exact time, and it can’t be edited afterward.
Activating and Deactivating Templates
Each template has an Active setting. Deactivate a template you no longer want available for new jobs while keeping its past submissions intact.
A template can’t be deleted while it’s still attached to one or more jobs — deactivate it instead. Templates that have never been attached can be deleted outright.
Viewing Completed Submissions
Open any job to see its completed form submissions. Each submission shows who filled it out, when it was submitted, and all recorded answers including photos. Use this record for quality assurance, compliance, or client reporting.
