Team Management
Overview
Your team is the backbone of your field service business. Jeero makes it simple to invite employees, assign the right level of access, and keep your roster up to date as your business grows.
Note: Only Owners and Managers can manage team members.
Inviting Employees
To add someone to your team:
- Go to Employees.
- Click Invite Employee.
- Enter the person’s email address and select a role.
- Click Send Invitation.
The invite screen shows a role permissions table so you can see exactly what each role can and cannot do before you choose one.
Note: Your plan includes a set number of seats, and each active team member uses one. If inviting someone would put you over your seat limit, Jeero blocks the invitation and points you to your subscription, where you can add seats or upgrade. During your free trial there is no seat limit. See Billing and Plans for details on seats and pricing.
The invitee receives an email with a link to join your company. When they open the link:
- If they already have a Jeero account, they confirm and your company is added to their account. It then appears in their company switcher.
- If they are new, they set their name and a password to create an account as part of joining.
Tip: A worker can belong to more than one company. If you invite someone who already works for another business on Jeero, joining your company simply adds it to their company switcher – they keep their existing account.
Approving an Invitation Yourself
You don’t have to wait for the invitee to act. While an invitation is pending, it appears in the Pending Invitations list on the Employees page with an Approve button.
- If the person already has a Jeero account, clicking Approve adds them to your company right away.
- If they are new, Approve opens a short form where you enter their name and a temporary password, creating their account on their behalf.
This is handy for onboarding someone who is standing next to you, or for getting a new hire set up before their first shift.
Invitations expire after 7 days. The Pending Invitations list shows how long each one has left.
Roles and Access
Each team member is assigned one of four roles. A role determines what that person can do – permissions are fixed by role, not toggled individually.

| Owner | Full access to everything: billing, company settings, team management, clients, jobs, invoices, and reports. |
| Manager | Manages company settings, billing, scheduling, dispatching, clients, and jobs – the same day-to-day access as an Owner. |
| Crew Lead | Works in the field: can update job statuses, clock in and out, follow navigation, upload photos, and submit expenses. Cannot create or edit jobs, or access billing and company settings. |
| Crew Member | Works in the field: can view their schedule, clock in and out, follow navigation, upload photos, and submit expenses. Cannot update job status, create jobs, or access billing and company settings. |

Note: Roles are not strictly split into “office” and “field.” Owners and Managers can also do field work – they can switch into the field view, clock in and out, and be assigned to and run jobs. This is useful for owner-operators and working managers who handle jobs themselves in addition to running the business.
Changing a Member’s Role
Only Owners can change a team member’s role. From Employees, click the edit (pencil) icon next to a member, choose a new role, and click Save. Changes take effect immediately.
Managers can edit a member’s details, phone numbers, and labor rate, but cannot change roles.
Tip: Start new hires as Crew Members. Once they are comfortable with the app and your processes, an Owner can promote them to Crew Lead or Manager as needed.
Contact Details
Each team member can have one or more phone numbers on file. To manage them, go to Employees, click the edit (pencil) icon next to a member, and use the Phone numbers section to add or remove numbers. Each number has a label – mobile, home, work, office, or other – and you can mark one as the primary number.
The primary phone number appears in the Phone column on the Employees list, so you can reach anyone on your roster with a single tap.
Deactivating and Reactivating Members
When someone leaves your company or takes an extended leave, you can deactivate their access rather than deleting it:
- Go to Employees and find the team member.
- Click the Deactivate (prohibit) icon and confirm.
Deactivated members lose access to your company immediately – including the mobile app, where their sign-in is revoked – but their historical data such as completed jobs, time entries, and photos is preserved. If they return, click Reactivate to restore their access with the same role.
Tip: Deactivating is reversible and keeps your records intact. Use it instead of deleting a team member whenever possible.
Labor Rates
Each team member can have a labor rate set on their profile. This rate represents the employee’s hourly cost and is used for internal tracking and job costing.
To set a labor rate:
- Go to Employees and click the edit (pencil) icon next to the team member.
- Enter the hourly rate in your company’s currency (e.g.,
25.00or35.50). - Click Save.
Labor rates are visible only to Owners and Managers – crew members cannot see their own rate or anyone else’s.
