Invoices and Payments

Overview

Jeero makes it easy to invoice clients and get paid faster. Create an invoice from any job, fine-tune the line items, send it with one click, and let clients pay online — no phone calls or check-chasing required.

Creating an Invoice

From a job page, click Create Invoice. Jeero pulls in the job’s line items, client details, and any notes so you don’t have to re-enter anything. Every invoice is linked to a job.

You can also create invoices from the Invoices page by selecting a job to generate the invoice from. Every invoice starts from a job, so there’s always a record of the work behind it.

Tip: If a job had billable expenses (materials, fuel, tools, etc.), you can sync those directly onto the invoice as line items — no manual entry needed.

Editing Line Items

Once an invoice is created, you can fine-tune it line by line. From the invoice page you can add new line items, edit existing ones (description, quantity, unit, price, and whether the item is taxable), or remove items you don’t want to bill. Totals and tax update automatically as you make changes.

When you add a service or part, you can optionally save it to your catalog so it’s ready to reuse on future jobs, quotes, and invoices.

Line items can be edited while an invoice is a draft or after it has been sent, so you can still correct a mistake without starting over.

Sending Invoices

Click Send to email the invoice to your client. They receive a link to a payment page showing the full breakdown and amount due. The client must have an email address on file to receive an invoice.

If you’ve uploaded a company logo on the My Company page, it appears at the top of the invoice email so your clients see your branding.

Client-Facing Payment Page

Your client’s payment page shows your company logo, all line items, taxes, any deposit already applied, and the balance due. Clients can pay the full amount online with a credit or debit card.

Online payments go directly to your connected bank account through Stripe — Jeero never holds your money. The Pay button only appears once you’ve connected and finished setting up your payment account, and once the invoice has been sent.

Taking payments online is optional. If you’d rather collect by cash, check, or bank transfer, you can skip the connection and mark invoices as paid yourself (see below). Off-platform payments are always free.

Tip: Enable online payments from the My Company page by connecting your payment account. Setup takes just a few minutes.

Invoice Statuses

Status Meaning
Draft Still being edited, not yet sent.
Sent Delivered to the client, awaiting payment.
Viewed The client has opened the invoice link.
Paid Payment received in full.
Voided Cancelled — no longer valid or collectible.

Invoices that are past their due date are flagged as Overdue in the interface, but this is a visual indicator rather than a separate status.

Only invoices that have already been sent (or viewed) can be voided. A draft invoice that hasn’t been sent yet can simply be deleted from the invoice page instead.

Syncing Expenses

When crew members log expenses against a job (materials purchased, fuel, tools, lodging), billable expenses are automatically included when the invoice is generated. If new billable expenses are recorded after the invoice was created, click Sync Expenses to pull them onto the invoice as line items.

Note: Sync Expenses is only available while an invoice is still a draft. Once an invoice has been sent, you can still edit its line items by hand, but new expenses won’t sync automatically — so it’s best to record all expenses before sending.

Invoice Mode

Each job can have an invoice mode that controls how invoicing works when the job is completed:

  • Inherit from client (default) – The job follows the client’s billing settings. If the client is set to monthly billing, the job’s charges accumulate for a monthly invoice. Otherwise, the client’s Auto-send invoices setting decides: when it’s on (the default), an invoice is generated and sent automatically on completion; when it’s off, invoicing is left to a manager.
  • Auto-send on completion – An invoice is generated and sent automatically when the job is marked complete. This is ideal for straightforward jobs where the scope and pricing are agreed upon in advance. (If the job still has expenses awaiting approval, Jeero holds off and marks it ready for a manager to review first.)
  • Manual – No invoice is created automatically. A manager must manually create and send the invoice from the job page. Use this for jobs that may need final adjustments before billing.
  • Monthly batch – The job’s charges are batched into a monthly invoice for the client.

Set the invoice mode when creating or editing a job under the Invoice Mode field.

Auto-Invoicing

When a job’s invoice mode resolves to Auto-send on completion, Jeero creates an invoice as soon as the job is marked complete, pulling in all line items and billable expenses, and emails it to the client right away (the client must have an email address on file to receive it).

The one exception: if the job still has expenses awaiting approval, Jeero holds off on invoicing and flags the job as ready, so a manager can review those expenses and send the invoice manually.

Auto-invoicing saves time for businesses that handle a high volume of standard jobs where pricing is set in advance.

Monthly Billing

Clients can be configured for monthly billing instead of per-job invoicing. When a client’s billing type is set to Monthly, completed jobs accumulate throughout the month and are rolled into a single invoice on the client’s designated invoice day.

To set up monthly billing, edit the client and choose:

  • Billing type – Select “Monthly” instead of “Per job.”
  • Monthly invoice day – The day of the month (1–31) when Jeero generates the consolidated invoice. Set it to 0 to bill on the last day of each month. If you pick a day later than a given month has (for example, the 31st in a 30-day month), Jeero bills on that month’s final day.

Monthly billing is useful for clients with recurring service agreements, property management companies, or any relationship where a single monthly statement is preferred over individual job invoices.

Marking an Invoice as Paid Manually

Not every payment comes through the online portal. If a client pays by cash, check, or bank transfer, open the invoice and click Mark as Paid. Jeero updates the status accordingly. The Mark as Paid button appears once the invoice has been sent (or viewed) — a draft has to be sent first.
