Company Setup
Overview
Before you start dispatching jobs, take a few minutes to set up your company profile. This information appears on invoices, quotes, and client-facing communications, so it is worth getting right from the start.
Note: Owners and Managers can access company settings.
Company Profile
Navigate to My Company in the sidebar to review your settings, then click Edit to fill in your business details:
- Company name – your official business name (e.g., “Acme Landscaping”).
- Logo – upload your company logo (PNG, JPG, or WebP, max 2 MB). It will appear on invoices, quotes, and email notifications sent to clients.
- Address – your office or headquarters address.
- Phone number – the primary contact number for your business. Pick the country dial code from the dropdown and Jeero formats the number for you.
- Email – your company contact email.
- Website – your company website URL.
- Business type – sole proprietorship, LLC, corporation, partnership, or nonprofit.
- Industry – landscaping, plumbing, HVAC, electrical, cleaning, pest control, roofing, painting, general contracting, or other.
- Tax ID – your federal Employer Identification Number (EIN), stored securely.
- Currency – the currency used for all pricing, invoices, and expenses (USD, EUR, GBP, CAD, AUD, or JPY).
Why Your Address Matters
Your company address serves as the default starting point for route optimization. When Jeero calculates the most efficient order for your crews’ daily stops, it uses this address as the origin. On the route builder you can also tap Use company address to quick-fill a stop, so you don’t retype it each time. Keeping it accurate means better route suggestions and more reliable drive-time estimates.
Tip: If your crew meets at a yard or warehouse rather than a traditional office, use that location as your company address for the most accurate routes.
Measurement System and Mileage
Under the company settings you can configure how Jeero handles units and mileage tracking:
- Measurement system – choose between Imperial (miles, feet) or Metric (kilometers, meters). This applies across the app including route distances, mileage entries, and short distances such as the photo geofence radius.
- Mileage rate – the per-unit rate used to calculate mileage expenses. Enter the rate as an amount in your company currency (e.g.,
0.670for 67 cents per mile, or0.725for 72.5 cents per mile). Jeero supports sub-cent precision so you can match the exact IRS standard mileage rate.
Tip: The IRS updates the standard mileage rate each year. Check and update your rate in January to stay current.
Default Tax Rate
Set your company’s default tax rate (e.g., 8.25%). This rate is automatically applied to taxable line items on quotes and invoices. You can always override the tax rate on individual documents.
Default Start Time
Set the default start time for your workday (e.g., 07:00). This time is used as the default when scheduling jobs and appears on crew dashboard cards.
Notification Preferences
Jeero has two types of notifications you can configure:
Client Notifications
Control which notifications are sent to your clients about their jobs. Toggle individual notification types on or off:
- Job scheduled – client is notified when a job is placed on the calendar.
- Job rescheduled – client is notified when a job date changes.
- Visit date added – client is notified when an extra visit is added to a multi-visit job.
- Visit date removed – client is notified when a scheduled visit is cancelled.
- Appointment reminder – automatic reminder before a scheduled job.
- Crew en route – client is alerted when the crew is on their way.
- Job started – client is notified when the crew reaches the job site and begins work.
- Job completed – client is informed when the job is finished.
- Invoice sent – client receives their invoice.
Company Notifications
These notifications keep owners and managers informed about business activity:
- Quote accepted – a client accepted a quote.
- Quote rejected – a client declined a quote.
- Payment received – a client paid an invoice.
- Job completed – a job was marked as finished.
- Crew note added – a crew lead added a note to a job.
- Job rescheduled by crew lead – a crew lead rescheduled a job from the field.
- New quote request – a potential client submitted a quote request through your public form.
- Job over estimated time – a started job has run past its estimated duration by more than the overage buffer (see below).
- Incomplete job alert – a job has not been marked complete by its expected finish time (see below).
Toggle individual notification types from the My Company page under the Company Notifications section.
Overage Buffer
When Job over estimated time is enabled, an extra field appears for the overage buffer – the number of minutes a started job can run past its estimate before triggering an alert. Set it to 0 to be notified the moment the estimate is exceeded. Jobs that were never started don’t trigger this alert.
Incomplete Job Grace Period
When Incomplete job alert is enabled, a grace period field appears – the number of minutes after a job’s expected completion time before Jeero sends an incomplete-job notification. Set it to 0 for an immediate alert.
GPS Tracking
Choose how your field team’s location is tracked. This setting controls location tracking for every worker in the company:
- Continuous – location is tracked automatically during work hours for real-time visibility and accurate mileage recording.
- Manual – workers start and stop location tracking themselves from their device.
- Disabled – no location tracking.
Photo Requirements
You can require crew members to upload photos at specific stages of a job:
- Require before photos – crew members must upload photos before they can start a job.
- Require after photos – crew members must upload photos before they can finish a job.
These settings help ensure quality documentation for every job.
Photo Geofence
Turn on Geofence enforcement to check where job photos are taken. When enabled, you set a radius around the job site (measured in feet or meters, matching your measurement system). Photos taken outside that radius, or without GPS data, are flagged for owner review. Uploads are never blocked – the geofence only flags photos so you can spot ones that may not have been taken on site.
Timezone
Jeero uses your company’s timezone to display all dates and times consistently across the dashboard, schedule, and notifications. Choose your timezone from the dropdown on the My Company edit page.
This ensures that job start times, route schedules, and time-tracking entries are accurate for your region – whether you are based in New York, Chicago, or Los Angeles.
Tip: If you operate across multiple time zones, set the timezone to where most of your jobs take place. Everyone on your team sees times in the company timezone, so the whole crew stays aligned.
